DEPOSIT & PAYMENTS

Mgrafx Designs accepts all major payment methods. All services require full payment upfront. Third-party payment platforms such as Klarna are permitted where available; however, Mgrafx Designs does not offer in-house payment plans, deposits, or installments for any orders.

 

Please note:

  • All payments are final and non-refundable.

  • Invoices may be edited one (1) time only.

  • Refusal to pay additional scope-related fees may result in cancellation without refund.

 

TURNAROUND TIMES

Turnaround times are calculated in business days only (Monday–Friday), excluding weekends and holidays in the U.S and Finland. Timeframes begin only after full payment, the completed New Project Form, and all required materials are received. All timelines are estimates and may vary based on project complexity and client response time.

 

Estimated timelines:

  • Standard design projects: 14–21 business days

  • Bundle orders: Minimum of 4 weeks

  • Rush services are not guaranteed and are only offered at Mgrafx Designs’ discretion for select services.

CLIENT PORTAL & CONTRACTS

After booking a service, clients will receive an invitation to access the official Mgrafx Designs client portal. All clients are required to join the portal in order to proceed with their project. The client portal is used for official communication, project updates, draft reviews, file delivery, and document signing.

 

Clients are required to review and sign all applicable contracts, agreements, and acknowledgments through the client portal before any work begins. Failure to sign required documents may result in delays, project pauses, or cancellation without refund.

 

All design drafts, updates, and important project information will be shared through the client portal. Clients are responsible for regularly checking the portal for updates, notifications, and action items. Mgrafx Designs is not responsible for delays caused by clients failing to review drafts or updates posted in the portal.

 

By booking with Mgrafx Designs, clients agree that electronic signatures and portal-based agreements are legally binding and enforceable.

CLIENT COMMUNICATION & RESPONSE POLICY

Clear and timely communication is required for all projects. All communication must be conducted via email or the official client platform. Direct messages, text messages, and social media inquiries will not be answered. Clients must use one (1) email address and send all information in one complete email.

 

Response requirements:

  • Drafts must be reviewed within 72 hours.

  • Failure to respond will result in the project being placed on hold. A project reopen fee will apply to resume.

  • Repeated delays may lead to cancellation without refund.

  • Retainer clients receive priority for design projects and communication.

  • Mgrafx Designs is not responsible for missed updates due to clients failing to check their email or client portal.

 

🚫 Chatbot or AI-generated emails are not accepted. All messages must be reviewed, edited, and written in the client’s own voice. You may use them to help draft any emails but your own voice is required.

PROJECT START & CLIENT RESPONSIBILITIES

Projects will only begin once the New Project Form has been submitted and all required materials have been received. Clients have ten (10) days from purchase to complete the form and submit content. Failure to do so may result in the project being paused or canceled without refund.

 

Clients are responsible for providing accurate instructions, content, measurements, and assets before the project begins.

DESIGN DIRECTION & CONTENT GUIDELINES

Mgrafx Designs does not offer freestyle design services. Clients must have a clear vision and direction before booking. Vague requests without instruction are not sufficient. Clients who are unsure of their direction must book a consultation prior to ordering.

 

Important requirements:

  • All text-based designs require finalized, proofread copy from the client.

  • ChatGPT or AI-generated wording must be edited and humanized.

  • Clients are fully responsible for content accuracy and tone.

WEBSITE DESIGN REQUIREMENTS

All website design projects require full branding for the business, including a logo suite, branding board, and supporting graphics. A professional photoshoot is strongly recommended. Random or mismatched images will not be accepted.

 

Websites will be designed using either:

  • Fully AI-generated models, or

  • A photoshoot created specifically for the website project

LABEL, PACKAGING & SIZE-SPECIFIC DESIGNS

All packaging and label projects require finalized specifications before work begins. Designs cannot start without complete information.

 

Required before booking:

  • Exact size and dieline

  • Product name (generic names are not accepted)

  • Ingredients, instructions, and warnings

  • Required markings (e.g., shelf life, flammable, cruelty-free)

 

Each design includes one (1) size only. Additional sizes will incur additional fees.

REFUNDS & CANCELLATIONS

Due to the custom nature of the work, all sales are final. Mgrafx Designs reserves the right to cancel any project without refund if a client is disrespectful, abusive, unprofessional, or refuses to comply with payment or policy requirements. Once work has begun, projects cannot be paused indefinitely or refunded due to changes in client readiness or direction.

 

Additional terms:

  • Orders cannot be saved for future use.

  • Projects must begin immediately after purchase.

  • Clients who abandon or repeatedly fail to use designs may be banned from future bookings.

 

CONSULTATION CALLS

All consultation calls are conducted via Zoom and scheduled in Eastern European Time (EET). Consultation calls must be booked in advance; same-day appointments are not available under any circumstances. Clients are responsible for booking a time that works for their schedule and time zone.

 

Clients are expected to join the call within fifteen (15) minutes of the scheduled start time. If a client fails to join within this timeframe, the call will be considered a no-show and will be automatically canceled. Missed consultation calls are non-refundable.

 

Failure to attend two (2) scheduled consultation calls will result in termination of consultation booking privileges. Mgrafx Designs reserves the right to decline future bookings at its discretion.

 

 

FILE DELIVERY & POST-DELIVERY CHANGES

Final files are delivered via Google Drive in PNG and PDF formats only. Editable files are not provided. Files remain available for sixty (60) days and will be deleted thereafter.

 

Important:

  • All changes requested after file approval are charged.

  • Post-delivery changes are completed on a delayed timeline.

INTELLECTUAL PROPERTY & OWNERSHIP

All designs, concepts, drafts, and creative work produced by Mgrafx Designs remain the intellectual property of Mgrafx Designs until final files have been delivered. Upon full payment and delivery of final files, the client is granted usage rights for the agreed-upon purpose of the project.

 

Mgrafx Designs retains the right to reuse, adapt, or display design elements that are not specific to the client’s proprietary information, including general layouts, styles, and techniques. Editable or source files are not included with any service and remain the sole property of Mgrafx Designs unless otherwise agreed upon in writing.

 

Clients may not resell, redistribute, alter, or claim ownership of the designs beyond their intended use. Any unauthorized use, resale, or modification of the designs is strictly prohibited.

PORTFOLIO USE & PROMOTIONAL RIGHTS

Mgrafx Designs reserves the right to display completed projects, drafts, and final designs in its portfolio, website, social media platforms, marketing materials, and promotional content unless otherwise agreed upon in writing prior to the start of the project.

 

By booking a service, clients grant Mgrafx Designs permission to showcase their work for promotional and portfolio purposes. Confidential or unreleased projects must be disclosed in advance and approved in writing to be excluded from public display.

FORCE MAJEURE & UNFORESEEN CIRCUMSTANCES 

Mgrafx Designs shall not be held liable for delays, interruptions, or inability to perform services due to circumstances beyond reasonable control. This includes, but is not limited to, illness, emergencies, power outages, internet failures, software issues, platform outages, acts of nature, or other unforeseen events.

 

In such cases, timelines may be adjusted accordingly. Mgrafx Designs is not responsible for missed deadlines or project delays caused by these events, and no refunds will be issued as a result of force majeure circumstances.

IMPORTANT REMINDERS

  • Stop requesting constant updates. Updates will be provided once there is progress to share.

  • Rushing your project will not make it faster. Book accordingly and plan ahead.

  • Be specific with your design inspirations. Terms like “fluffy,” “pop,” or “bold” are subjective. Please explain clearly. Designers cannot read minds.

  • Be payment-ready when requesting invoices.

  • Once projects are sent over, ALL CHANGES ARE CHARGED. There's an project reopen fee that occurs if there's any changes that need to be made after the project has been sent over. Fee is determined by the scope of the changes. 

NO EXCEPTIONS POLICY

All policies listed above are strictly enforced without exception. Mgrafx Designs does not make special accommodations, policy overrides, or exceptions based on individual circumstances, urgency, or client preference. Booking a service constitutes full agreement to these terms regardless of whether the client has read them in full.

 

Requests to bypass policies, timelines, payment terms, revision limits, or communication rules will not be honored. Any attempt to pressure, negotiate, or dispute clearly stated policies may result in project cancellation or termination of booking privileges without refund.

POLICY ACKNOWLEDGEMENT

By submitting an inquiry, booking a service, scheduling a consultation, or making a payment with Mgrafx Designs, you acknowledge that you have read, understood, and agreed to all policies stated on this website. Agreement to these policies is mandatory in order to work with Mgarfx Designs. Failure to comply with these policies may result in delays, additional fees, cancellation of services, or termination of booking privileges without refund.
