1. DEPOSIT & PAYMENTS

Mgrafx Designs accepts all major payment methods. All services require full payment upfront. Third-party payment platforms such as Klarna are permitted where available; however, Mgrafx Designs does not offer in-house payment plans, deposits, or installments for any orders.

 

Please note:

  • All payments are final and non-refundable.

  • Invoices may be edited one (1) time only. After than no more invoices are sent.

  • Refusal to pay additional scope-related fees may result in cancellation without refund.

2. TURNAROUND TIMES

Turnaround times are calculated in business days only (Monday–Friday), excluding weekends and holidays in the U.S and Finland.

Time frames begin only after full payment, the completed New Project Form, and all required materials are received. 

 

Estimated timelines:

  • Standard design projects: 14–21 business days

  • Bundle orders: Minimum of 4 weeks

  • Rush services are not guaranteed and are only offered at Mgrafx Designs’ discretion for select services.

 

Turnaround times are estimates and may vary depending on project complexity, client response times, and revisions. We cannot guarantee exact finish dates. Changes, updates, or revisions will extend the timeline.

3. PROJECT FORMS & CONTRACTS

After booking a service, clients will receive a new project form and all applicable contracts or agreements via email from Mgrafx Designs. Clients are responsible for regularly checking their inbox and spam/junk folders to ensure they do not miss important emails or required documents.

Clients must complete and return the new project form, review and sign all applicable contracts, agreements, and acknowledgments before any design work begins. Failure to submit required forms or signed documents may result in project delays, pauses, or cancellation in accordance with our policies.

All official project communication, updates, design drafts, revision requests, approvals, and final file delivery will be handled through email. Clients are responsible for checking their email regularly and responding to requests or reviewing drafts within the specified timeframes. Mgrafx Designs is not responsible for delays caused by missed emails, unreviewed drafts, or late client responses.

By booking with Mgrafx Designs, clients acknowledge that electronic signatures and agreements may be used to document their acceptance of the applicable terms, subject to relevant laws.

4. PROJECT START & CLIENT RESPONSIBILITIES

Projects enter the onboarding stage after purchase. Design work begins only once full payment has been received, the required forms and agreements have been completed, and all requested materials have been provided. Clients must complete their onboarding requirements within ten (10) days of purchase.

​

Receiving a draft or final deliverable does not grant permission to use the work as input or source material for AI-generated reproductions or modifications. Clients are responsible for ensuring that their use of supplied materials complies with these policies and any applicable licence or usage restrictions. Any permitted AI use involving Mgrafx Designs’ work must be authorized in writing beforehand.

5. CLIENT COMMUNICATION & RESPONSE POLICY

Clear and timely communication is required for all projects. All communication must be conducted via email. Direct messages, text messages, and social media inquiries will not be answered. Clients must use one (1) email address and send all information in one complete email.

 

Response requirements:

  • Drafts must be reviewed within 72 hours.

  • Projects may be placed on hold after 14 days without a response.

  • Projects inactive for 30 days are archived and require a restart fee.

  • Resuming an archived project may require a restart fee, determined by the scope of work needed to resume.

 

AI-Assisted Communication: Clients may use AI tools to assist with drafting messages, but all communications must be reviewed, edited, and approved by the client before being sent. Clients are responsible for ensuring their messages accurately reflect their own intentions, feedback, and decisions.

6. DESIGN DIRECTION & CONTENT GUIDELINES

Mgrafx Designs does not offer freestyle design services. Clients must have a clear vision and direction before booking. Vague requests without instruction are not sufficient. Clients who are unsure of their direction must book a consultation prior to ordering.

 

Important requirements:

  • All text-based designs require finalized, proofread copy from the client.

  • ChatGPT or AI-generated wording must be edited and humanized.

  • Clients are fully responsible for content accuracy and tone.

     

7. WEBSITE DESIGN REQUIREMENTS

All website design projects require full branding for the business, including a logo suite, branding board, and supporting graphics. Website projects also require suitable, cohesive visual assets. Depending on the agreed project direction, imagery may be sourced from a professional photoshoot, client-provided assets, or AI-generated imagery where appropriate and agreed upon. The selected approach must be established before the project begins.

8. LABEL, PACKAGING & SIZE-SPECIFIC DESIGNS

All packaging and label projects require finalized specifications before work begins. Designs cannot start without complete information.

 

Required before booking:

  • Exact size and dieline

  • Product name (generic names such as "lash glue", "bonder" are not accepted)

  • Ingredients, instructions, and warnings

  • Required markings (e.g., shelf life, flammable, cruelty-free)

 

Each design includes one (1) size only. Additional sizes and designs will incur additional fees.

9. DESIGN REVISIONS & SCOPE CHANGES

Each service includes only the revisions expressly stated in its package description or project agreement. Revision limits vary by service. Clients must submit clear, consolidated feedback within the specified review period. Requests outside the included revision allowance, changes to an approved creative direction, additional concepts, or redesigns beyond the agreed scope will be quoted separately. 

 

For logo suite projects, the number of initial concepts, included revision rounds, and any redesign allowance will be specified in the applicable proposal or agreement. Once final designs have been approved and delivered, further changes are considered post-delivery work and may incur additional fees. Work outside the original scope will not proceed until the applicable additional fees have been agreed upon and paid.

10. REFUNDS & CANCELLATIONS

Due to the custom nature of the work, all sales are final. Mgrafx Designs reserves the right to cancel any project without refund if a client is disrespectful, abusive, unprofessional, or refuses to comply with payment or policy requirements. Once work has begun, projects cannot be paused indefinitely or refunded due to changes in client readiness or direction.

 

Additional terms:

  • Orders cannot be saved for future use.

  • Project onboarding must begin immediately after purchase.

  • Projects inactive for more than 30 days are archived and require a restart fee.

     

11. FILE DELIVERY & POST-DELIVERY CHANGES

Final files are delivered digitally through Google Drive or another designated delivery platform. The file formats provided will depend on the purchased service and the agreed-upon deliverables.

Editable source files and working files are not included unless explicitly agreed upon in writing.

Final files remain available for sixty (60) days after delivery. Clients are responsible for downloading and securely storing their files within this period.

​

Requests for changes after final approval or delivery are considered additional work and may incur additional fees. Post-delivery changes are subject to availability and may be scheduled on a delayed timeline.

​

Clients must review spelling, product details, measurements, and other information before approving final designs.

​

 

12. INTELLECTUAL PROPERTY & OWNERSHIP

All designs, concepts, drafts, mockups, and creative work produced by Mgrafx Designs remain the intellectual property of Mgrafx Designs until the final files have been delivered and all required payments have been received.

​

Unless otherwise agreed upon in writing, clients receive usage rights for the intended purpose of their purchased service. Where a written agreement explicitly provides for ownership transfer, ownership of the specified final approved artwork will transfer to the client upon acceptance of final drafts, full payment and delivery.

​

Unused concepts, drafts, editable source files, and underlying working files are not included in any ownership transfer unless expressly agreed upon in writing.

​

Third-party assets, including fonts, stock images, graphics, and other licensed materials, remain subject to their respective licence terms. Ownership or usage rights to the final design do not automatically transfer ownership of third-party assets.

 

Mgrafx Designs retains the right to reuse general design techniques, skills, and methods that do not disclose the client’s confidential or proprietary information.

Clients may not resell, redistribute, or use designs outside the rights granted under their agreement. Any additional permissions or ownership transfers must be agreed upon in writing.

 

 

13. AI USAGE & DESIGN PROTECTION

All designs, concepts, drafts, mockups, previews, and final deliverables created by Mgrafx Designs are protected by applicable intellectual property laws and are subject to the usage restrictions outlined in these policies and the applicable project agreement.

Without prior written permission from Mgrafx Designs, clients may not:

  • Upload or process designs through AI tools: Submit, upload, or import any Mgrafx Designs drafts, previews, mockups, or
    final deliverables into AI platforms or generative design tools for analysis, modification, recreation, or generation
    of alternative designs.

  • Recreate designs using AI: Use Mgrafx Designs’ work as a prompt input, image reference, or source material to generate copies, imitations, or alternative versions of the original work.

  • Generate unauthorized modifications: Use AI tools to alter, extend, enhance, or create derivative versions of designs produced by Mgrafx Designs.

  • Enable unauthorized third-party use: Provide or distribute design materials to third parties for AI training, processing, replication, or recreation without written authorization.

 

Unauthorized use of design materials in AI tools may result in project suspension, cancellation, or restrictions on future bookings, where permitted by applicable law. Mgrafx Designs reserves the right to pursue remedies available under applicable law for unauthorized use or infringement of its intellectual property. By booking a service or receiving design materials, clients agree to comply with this policy.

 

 

14. PORTFOLIO USE & PROMOTIONAL RIGHTS

Mgrafx Designs reserves the right to display completed projects, drafts, and final designs in thier portfolio, website, social media platforms, marketing materials, and promotional content unless otherwise agreed upon in writing prior to the start of the project.

 

By booking a service, clients grant Mgrafx Designs permission to showcase their work for promotional and portfolio purposes. Confidential or unreleased projects must be disclosed in advance and approved in writing to be excluded from public display.

15. FORCE MAJEURE & UNFORESEEN CIRCUMSTANCES 

Mgrafx Designs shall not be held liable for delays, interruptions, or inability to perform services due to circumstances beyond reasonable control. This includes, but is not limited to, illness, emergencies, power outages, internet failures, software issues, platform outages, acts of nature, or other unforeseen events.

 

In such cases, timelines may be adjusted accordingly. Mgrafx Designs is not responsible for missed deadlines or project delays caused by these events, and no refunds will be issued as a result of force majeure circumstances.

16. IMPORTANT REMINDERS

  • Please do not requesting constant updates. Updates will be provided once there is progress to share.

  • Rushing your project will not make it faster. Please book and plan ahead when booking designs.

  • Be specific with your design inspirations. Terms like “fluffy,” “pop,” or “bold” are subjective. Please explain your vision clearly.

  • Be payment-ready when requesting invoices. Invoices can be modified only once.

  • Once projects are sent over, all changes are charged. There's a project reopen fee that occurs if there's any changes that need to be made after the project has been sent over. Fee is determined by the scope of the changes.

17. NO EXCEPTIONS POLICY

All policies listed above are strictly enforced without exception. Mgrafx Designs does not make special accommodations, policy overrides, or exceptions based on individual circumstances, urgency, or client preference. Booking a service constitutes full agreement to these terms regardless of whether the client has read them in full.

 

Requests to bypass policies, timelines, payment terms, revision limits, or communication rules will not be honored. Any attempt to pressure, negotiate, or dispute clearly stated policies may result in project cancellation or termination of booking privileges without refund.

18. POLICY ACKNOWLEDGEMENT

By submitting an inquiry, booking a service, or making a payment with Mgrafx Designs, you acknowledge that you have read, understood, and agreed to all policies stated on this website. Agreement to these policies is mandatory in order to work with Mgarfx Designs. Failure to comply with these policies may result in delays, additional fees, cancellation of services, or termination of booking privileges without refund.
